Hello, we're thinking about implementing a hot desking policy in our office space to increase utilization and potentially save on costs. However, I'm not sure how to calculate the cost savings from this change. Can anyone provide some guidance on how to determine the financial impact of hot desking, including any potential savings on utilities, maintenance, and other expenses? Thank you!

- Reduced cost on rent and leases: Hot desking usually allows companies to reduce the amount of space required per employee, which can reduce rent costs. So, if you see hot desking helping you in that regard, you should definitely consider it as a metric.
- Decreased utility costs: Since hot desking allows for more flexibility regarding desks and workstations, you might see a reduction in energy costs - primarily regarding lighting and air conditioning.
- Increased productivity: Usually, hot desking increases collaboration levels and productivity among employees, which can improve cost-savings for the company. Still, productivity isn't usually a quantitative metric, which might make it hard to calculate the cost-effectiveness of hot desking.
There's no "right formula" when it comes to hot desking, but going over your current spending trends and analyzing all of your cash outflows will definitely help you decide if hot desking is for you.
